Record history

Every time a workflow runs, it creates (or updates) a record. Opening a record shows its full history: where it is now, every step it has been through, and the information captured along the way.

Records live in your workspace’s Work area. Each record has a friendly reference number you can quote in emails and messages, and a status badge (for example Open, In Progress, or Completed). A short summary at the top shows how many steps are complete and the current execution status.

Above the tabs, a workflow progress view lays out the run step by step. Each step is marked as:

  • Completed — already run.
  • Active — running now.
  • Waiting — paused for a person or an external event (an approval, a task, or incoming data).
  • Skipped — bypassed by a decision that routed the run another way.
  • Pending — not reached yet.

Because it accounts for decision routing, the progress view only shows the path this particular record actually took — not every branch the workflow could follow.

The Overview tab is the “what’s happening now” view. It surfaces anything that needs attention and the key details of the run:

  • Pending approvals waiting on a decision-maker.
  • Open tasks someone still needs to complete.
  • The current step, including when the run is waiting on external input.
  • The record’s data — the information collected on the form plus anything the workflow has produced so far (task outcomes, decisions, statuses, generated links, and so on).

When there is nothing outstanding, the Overview simply confirms the workflow is progressing automatically.

The Workflow tab shows the full step-by-step progress of the run — the same path as the progress view, in detail. If a run has only just started, this tab will say execution hasn’t begun yet.

The Tasks tab lists every task on the record, each with its status (Open, Completed, or Cancelled). Expanding a task shows the data recorded in it — the fields a person filled in, including any file uploads, which you can preview or download.
